GUEST ARTIST MONTHLY RENTAL AGREEMENT

This Agreement is made and entered into by and between the Arts Guild of Sonoma (AGS) and the applicant. Please read this contract carefully and complete the form below. By submitting this form, the applicant agrees to abide by the terms and responsibilities of the agreement.

1. Eligibility and Screening

“Guest Artist” is not a member of AGS. All Guest Artists must be screened and approved by the AGS Screening Committee prior to exhibiting. Screening is based on:

  • Submitted images and artwork dimensions

  • Artist statement

  • Active website and email contact

There is no fee to apply. Submit application and materials to: jswhitfield.artist@gmail.com.

2. Rental Terms

  • Wall Rental Fee: $300 per month for an 8’ main gallery wall

  • Commission on Sales: 35% to AGS / 65% to Artist

  • Payment Due: Full rental payment and signed contract are due before installation

Guest Artist will be featured in Guild promotions (email newsletter, social media) and invited to participate in the monthly public reception.

3. Installation & Deinstallation

  • Hanging: Only AGS’s Last Look Committee may hang and remove work. Guest Artist may not hang their own work but may assist if invited by the committee.

  • Duration: All work must remain on display for the full rental period. Early removal is not permitted.

4. Insurance and Liability

  • AGS does not insure artwork. The Guest Artist agrees to carry their own insurance if desired.

  • AGS is not liable for any damage, loss, or theft of artwork while on display, in transit, or in storage at the gallery.

  • By signing this contract, the Guest Artist waives all claims against AGS related to damage, loss, or theft.

5. Artwork Standards

  • All artwork must be professionally presented: framed, wired, or gallery-ready. Canvas paintings with finished sides are acceptable.

  • Only approved works (submitted via application) may be shown. Images of the exact 2-D artwork intended to be installed for the gallery wall space must be submitted and approved before moving forward with scheduling, contracts, and exchange of money.

  • Substitutions or additions must be pre-approved by AGS.

  • AGS reserves the right to refuse any work that does not meet quality or content standards.

6. Reception and Promotion

  • Guest Artists are included in AGS’s: Monthly email newsletter, Social media announcements, First Thursday Art Walk receptions. Guest Artists are encouraged to attend and invite their network.

7. Scheduling

  • AGS maintains a yearly scheduling matrix to ensure clear planning of monthly exhibits.

  • November and December priority: Guild Artist Members have first right to wall space during these months.

SIGNATURES

I have read, understood, and agree to all terms of this Guest Artist Rental Agreement. I acknowledge that the Arts Guild of Sonoma is not responsible for damage, theft, or loss of my work, and I am responsible for carrying my own insurance. Furthermore, with submission of this agreement I accept the legal obligation to abide by its terms.
